How to Use This Template
Copy the Master Credential Tracker into a spreadsheet (Excel, Google Sheets, or similar). Add one row per active employee. Fill in all fields at hire and update when any credential is renewed. Set calendar reminders at the 90-day and 30-day marks before each expiration. Review the full tracker monthly.

Instructions for Maintaining the Tracker
Who Maintains It
The director or designated administrative person maintains the master tracker. If the director is out, the assistant director or owner must know where the tracker is and how to access it. Do not rely on individual staff members to self-report expirations.
When to Update
- At hire: Fill in all fields on the staff member’s first day. If any credential is pending (e.g., fingerprint clearance in process), note the date submitted and expected return date.
- When a credential is renewed: Update the expiration date in the tracker the same day the new card or clearance letter is received. Do not wait.
- When a staff member terminates: Change their status to “Terminated” and record the last day. Do not delete their row — retain for the required period.
Monthly Review Process
At the beginning of each month:
- Sort the tracker by nearest expiration date.
- Identify all credentials expiring within 90 days. Contact those staff members immediately and initiate the renewal process.
- Identify all credentials expiring within 30 days. These are urgent. If a renewal is not already in progress, act today.
- Flag any staff member whose credential has already expired. Remove from the schedule pending renewal unless your state has a documented grace period.
- Review training hours YTD for all active staff. Identify anyone who is behind pace for their annual requirement.
Setting Calendar Reminders
For every expiration date in the tracker, set two calendar reminders:
- 90 days before expiration: “Start renewal process for [Staff Name] [Credential Type] — expires [DATE]”
- 30 days before expiration: “URGENT: [Staff Name] [Credential Type] expires in 30 days — confirm renewal submitted”
Use a shared calendar that your backup administrator can also see.

Background Checks
Background check processing times vary significantly by state and volume. Do not wait until a credential expires to begin renewal.

Note: FBI fingerprint processing times can extend significantly during high-demand periods. Building in a 90-day lead time protects you from gaps.

Schedule renewal training at the 18-month mark to allow for scheduling flexibility. Do not wait until the month of expiration.
Annual Training Hours
Most states require continuing education hours to be accumulated during the calendar year or program year. Track hours cumulatively throughout the year. If a staff member falls significantly behind by mid-year, it is very difficult to catch up in the final months.
Track training at the topic level — some states require specific topics (CPR, child abuse recognition, nutrition, etc.) to be covered, not just a generic number of hours.
New Hire Onboarding Checklist
Use this checklist for every new hire. Items in the “Before First Day with Children” column must be complete before the staff member can be in ratio.

Common Licensing Violation Patterns
These are the credential-related findings that show up most often in state licensing inspections. Each one is preventable with a functioning tracker.
Clearances that lapsed while staff continued working. The most common finding. Background checks have expiration dates, and when no one is tracking them, they expire without anyone noticing. The staff member kept working. The inspector found the expired clearance. Fix: use the tracker and the 90-day calendar reminders.
CPR certification expired for the only certified person on shift. Many centers require only one certified person per shift. If that person’s certification expires and no one noticed, the center is out of compliance every day that person works. Fix: know which staff hold current certifications, not just that certifications exist.
Training hours not documented even though training was completed. Staff attended training but no one collected the certificate or logged the hours. Come inspection time, hours that happened cannot be proven. Fix: require staff to turn in training documentation within one week of completing training, and log it immediately.
New hires started working before clearances were received. This is one of the most serious findings — a staff member without completed background checks should not be alone with children. Some states prohibit any contact with children until clearances are received; others allow a provisional period with supervision. Know your state’s rule. Fix: the pre-hire checklist above.
Director qualification not met. The director role has specific qualification requirements in every state. If the previous director left and the current director doesn’t meet the qualification standard, that is a licensing violation — regardless of how experienced they are in practice. Fix: verify director qualifications at hire and annually.
