What Sandbox gets right

Sandbox was built to fix the UX problems that older platforms like Procare created. The interface is clean, the parent app is polished, and the onboarding process is faster than most legacy competitors.

Digital check-in, daily reports, parent messaging, and invoicing are all included. For center directors who have struggled with clunky software, Sandbox’s design is a real improvement.

No long-term contract requirement lowers the commitment risk. For programs testing a new platform after a bad experience elsewhere, that flexibility matters.

Where Sandbox falls short for compliance-driven centers

Sandbox’s design choices favor the parent experience and operational administration. The compliance layer — the part that matters when a licensing officer walks in — is where the gaps show up.

Ratio tracking is not built in. State licensing rules require continuous staff-to-child ratio compliance throughout the operating day. Sandbox does not monitor or document ratios in real time. When an inspector arrives and asks for ratio records from 9:30 a.m. on a specific date, directors on Sandbox do not have a system-generated answer — they have whatever manual log they maintained alongside the platform.

Subsidy reconciliation is limited. Sandbox has billing features, but CCDF and DHS voucher billing requires more than invoicing — it requires attendance documentation by child and funding source, state-formatted reimbursement claims, and voucher authorization tracking. Directors with meaningful subsidy volume report needing manual workarounds.

Audit documentation requires manual export. The records Sandbox generates are designed for daily operations and parent communication. State licensing inspections require time-stamped attendance records, room-level ratio logs, and subsidy billing records formatted to match what was submitted for reimbursement. Getting from Sandbox’s records to what an inspector needs involves manual work.

No offline access. Records are unavailable when connectivity drops. For a licensing inspection during an outage, that is an operational risk.

What a licensing audit requires

Licensing officers ask for the same things regardless of state:

• Attendance records with precise sign-in and sign-out times for a defined date range
• Staff-to-child ratio records at specific times of day, including when staff coverage changed
• Subsidy billing documentation that matches the reimbursement claims submitted to the state
• Incident reports and medication administration logs where applicable

A clean interface and a polished parent app do not produce any of that. Compliance documentation has different requirements than parent communication, and the two sets of outputs rarely overlap.
