What PebbleDesk solves

The daily childcare record is too important to live in five disconnected places.

Directors need to prove attendance, ratios, subsidy claims, billing history, and family details. PebbleDesk keeps those pieces connected from the start so audit prep is not a separate cleanup project.

How PebbleDesk solves it

Every workflow feeds the same audit-ready record.

1. Capture the day

Attendance, room changes, and staff coverage start in the same record.

Directors can see who is present, where children are assigned, and whether the room has the staff it needs while the day is still happening.

  • Attendance tied to room activity and audit history
  • Live ratio monitoring with history and reports
  • Staff scheduling built around room coverage

2. Keep context attached

Child, guardian, classroom, pickup, subsidy, and billing details stay with the record.

When a question comes up, the director is not hunting through separate systems to confirm who belongs where or which family detail matters.

  • Child enrollment and classroom assignment
  • Guardian, billing, and authorized pickup records
  • Subsidy eligibility and family contact detail

3. Turn records into proof

Invoices, subsidy claims, reports, and audit exports point back to the daily record.

The same information that runs the day supports the claim, invoice, licensing question, or report later.

  • Invoices, payment status tracking, and guardian payment links
  • Subsidy cases, claims, and reconciliation support
  • Audit exports, attendance reports, and audit log history

4. Start without a rebuild

CSV import, Brightwheel and Procare presets, and rollout support help teams move cleanly.

Single-site programs can start self-serve. Larger organizations can map migration, cross-center visibility, and qualifying integrations before rollout.

  • CSV import for children, guardians, invoices, and enrollment
  • Migration presets for Brightwheel and Procare data cleanup
  • QuickBooks support on qualifying plans and qualifying multi-location oversight

Our promise

Built around the four moments that make childcare admin painful.

Family and room records

Enrollment, child records, guardian records, classrooms, pickup permissions, and subsidy eligibility are managed as one structured record set.

Frequently asked

Common questions before you try it

Does PebbleDesk handle my state's subsidy reporting?
PebbleDesk enforces state-mandated staff-to-child ratios for Texas, California, and Florida. Generic ratio and licensing workflows are available for all other states. State-specific licensing report formats are available for TX (HHSC 2936), CA (LIC 9040), and FL (DCF CF-FSP 5337).
How does ratio tracking work?
PebbleDesk tracks staff-to-child ratios from check-ins and room assignments. The goal is to show the gap while the director can still fix the room, not after the licensor writes it down.
Can I import data from Brightwheel or Procare?
Import from CSV, with column mapping presets for Brightwheel and Procare. Works for child rosters, family contacts, and billing records.
What happens if my internet goes down?
PebbleDesk is online-only in V1. If your connection drops, keep a paper fallback for temporary attendance notes and enter them once service returns.
How does PebbleDesk pricing work?
PebbleDesk has tiered flat pricing with annual billing as the default. While LAUNCH50 is active, Home is $20/mo equivalent, paid upfront annually ($234/year), Center Starter is $65/mo equivalent, paid upfront annually ($774/year), Center Pro is $100/mo equivalent, paid upfront annually ($1194/year), and Group is $200/mo equivalent, paid upfront annually ($2394/year). Enterprise is custom, monthly billing is available, and eligible subscriptions keep 50% off for life.
Is there a contract or commitment?
No long-term contract is required. Choose annual or monthly billing and cancel any time.
What happens after I create an account?
You create your account in the PebbleDesk product app, choose the plan that fits your program, start the 30-day free trial — no credit card required — and continue into center setup. PebbleDesk emails you when the trial starts and again 3 days before the trial ends. Add a payment method any time before the trial ends to continue without interruption. If your team wants help mapping migration, subsidy, or rollout steps first, you can also book the optional 15-minute setup walkthrough.
Do you support every state and operate offline?
PebbleDesk is online-only in V1. We support generic attendance, records, billing, messaging, and ratio workflows nationally, with verified state-specific ratio and licensing report support today for Texas, California, and Florida. If you need a state-specific workflow outside those formats, we scope it during rollout instead of claiming parity we have not verified.
How does rollout work for an existing center or multi-site group?
Single-site centers and Group buyers can start self-serve, import CSV data, and use Brightwheel or Procare migration presets to get the first roster loaded quickly. Enterprise rollouts are sales-led, with center setup, migration sequencing, and cross-center reporting mapped during implementation.
Why are so many childcare providers leaving the subsidy system?
Provider participation in the CCDF subsidy program fell from 475,394 in 2006 to 225,204 in 2022. The main drag is admin burden: attendance tracking, billing reconciliation, portal rules, and documentation retention. PebbleDesk is built to cut that paperwork load, not add another place to manage it.
How much revenue do centers lose without billing automation?
Research estimates providers miss more than 8% of annual revenue from subsidy billing errors without automation. For a center with $200,000 in annual subsidy revenue, that can mean $16,000 lost to missed claims, documentation errors, and reconciliation mistakes.
How long does it take to receive subsidy reimbursements?
Most states pay subsidies after care is delivered, and reimbursement can take up to 60 days. PebbleDesk tracks what was billed, what is still outstanding, and which records support the claim.
What is the national improper payment rate for CCDF subsidies?
The national CCDF improper payment rate was 3.55% in 2023. Missing or incomplete documentation still drives a large share of those errors, which is why PebbleDesk keeps attendance, ratios, and claim support in one record.

Keep attendance, ratios, billing, and audit records ready before anyone asks for them.
