TLDR

A trial that enters real enrollment, runs a real billing scenario, tests a subsidy report, and logs a full day of ratio data tells you almost everything you need to know. The difference is in how you set it up.
Why most trials fail to inform the decision
The typical childcare software free trial experience: a director signs up, clicks around the interface for 20-30 minutes, creates a few test records with placeholder names, and forms an impression of the UI. Two weeks later, the trial expires and the director either converts or cancels based on that 30-minute impression.
That impression is not useful. The things that matter in childcare software — whether billing calculates correctly for your rate structure, whether the subsidy export works for your state’s portal, whether the ratio dashboard is fast enough to be useful during the morning rush — can’t be evaluated from a 30-minute interface tour with fake data.
The trial is a prototype of your actual operations. The more it resembles your actual operations, the more the trial result predicts your actual experience.
Setting up the trial for a realistic test
Before you start clicking around, spend 30 minutes on setup that will make the rest of the trial meaningful.
Enter real enrollment data. Set up at least 10-15 real children with actual enrollment information: correct ages, classroom assignments, and billing rates. You don’t need to enter all 50+ children, but enough to test billing across different age groups and rate types. Use real first names (but test last names like “TestFamily” if you prefer not to enter full family data) — the goal is realistic records, not perfect privacy.
Set up your real rate structure. Enter your actual tuition rates by age group and session type. This is the test that reveals whether the billing configuration can represent your actual pricing. If your rate structure is complex (tiered rates, multi-sibling discounts, drop-in rates), enter the complex ones — those are the scenarios where billing software either works correctly or fails.
Configure your subsidy payers. If you have CCDF or other subsidy-funded children, enter at least two or three as real subsidy children with your state program configured. The test you’re working toward is whether the software can produce a subsidy attendance report for these children in your state’s required format.
Set up staff records. Enter at least a few real staff members with their actual roles and room assignments. Ratio calculations depend on staff records being accurate — testing ratio tracking with placeholder staff records gives you meaningless results.
The four critical tests
Test 1: One week of real daily attendance
Starting on day one of the trial (not day five after you’ve been exploring), use the check-in system as you would in production. Log actual arrival and departure times. If you’re testing a mobile check-in, use it during actual arrival. If you’re testing a tablet-based check-in, set it up at your actual entry point.
After five days of real daily use, you’ll know: whether parents can actually check in without confusion, whether the interface is fast enough at morning rush, and whether your staff finds it workable or frustrating. These operational realities don’t show up in demos.
Test 2: A billing run with your actual rate structure
At the end of your first week in the trial, attempt to run a billing cycle. Generate invoices for the test children you enrolled. Before the invoices go out (don’t actually send them during a trial), review each one:
- Does the tuition amount match what you’d calculate manually?
- Is the subsidy co-pay amount correct for subsidy children?
- Are any rate adjustments (multi-sibling discounts, partial-week attendance) calculated correctly?
The billing test is the most important functional test in the trial. Every variance between software-calculated billing and your manual calculation is a billing error that will require correction in production.
Test 3: A subsidy attendance report
If you have subsidy-funded children, this is the test that most distinguishes capable software from inadequate software.
After a week of daily attendance for your subsidy test children, generate an attendance report in your state’s required format. Download the file. Look at it — does it have the columns, format, and data your state portal requires? If you’re uncertain, send the sample file to a colleague who submits claims to your state, or attempt to upload it to your state’s portal test environment if one is available.
The subsidy test is worth spending a third of your trial evaluation time on. It’s the workflow with the highest stakes and the greatest variation in vendor capability.
Test 4: Ratio dashboard during the morning rush
On at least one morning during the trial, use the ratio dashboard during your actual morning arrival period — when children are checking in and the classroom counts are changing in real time.
Does the dashboard update promptly as children arrive? Does it show all rooms simultaneously without requiring navigation? If a room approaches its ratio limit, does an alert appear? Can you see, at a glance, whether you’re compliant without having to count anything manually?
The ratio dashboard test is a usability test more than a functional test — you’re evaluating whether it’s fast and clear enough to actually change your behavior during a busy morning.
Questions to ask support during the trial
Your trial is also a preview of what support will be like after you sign. Use it to test support quality:
Ask at least two questions that are genuinely hard to answer — not basic “how do I do X” questions, but scenarios like “if a subsidy child’s eligibility expires mid-month, how does the billing split?” or “if I need to backdate an attendance entry from last week, what is the process and does it create an audit record?”
Note the response time. For a billing or compliance question during business hours, the response time should be under 4 hours. For after-hours questions, one business day is reasonable. Slower than that signals a support operation that won’t serve you well when you have a billing deadline or an inspector at the door.
Note the quality of the answer. Did support actually understand your question and give you the specific answer? Or did they send you a help article link that doesn’t quite address what you asked? The quality of support answers during the trial predicts the quality of support you’ll receive when you have a real problem.
Red flags that predict production problems
Billing totals that don’t match your manual calculation, with no clear explanation. If the software calculates differently than you expect and the support team can’t explain why, that’s a billing calculation error — not a user error.
Subsidy export that produces errors when uploaded to your state portal. This is a binary failure: either the format works for your state or it doesn’t. A file that produces errors isn’t something to work around; it’s a deal-breaker.
Ratio dashboard that shows different numbers than your manual count at the same time. If the dashboard says a room has 12 children and you count 14 at the same moment, something is wrong with the real-time data connection. This is not a minor UI issue — it’s a compliance failure.
Support that takes more than one business day to respond to basic workflow questions during the trial period. Vendors put their best effort into trial support. If response is slow when they’re trying to win your business, it’s slower after you sign.
An interface that your least tech-comfortable staff member finds confusing after two days. Complexity that requires significant training time is complexity that creates daily friction for years. If the system requires your staff to think about the software rather than about the children, that friction is real.
